Our client is a prestigious private equity and investment banking firm located in the heart of San Francisco. They specialize in providing high-level advisory and investment services to clients across a range of industries. We are seeking a proactive and detail-oriented Executive Assistant to provide seamless support for a Partner and Managing Director in a fast-paced and dynamic environment. Salary: 110 – 125k + OT + Discretionary Bonus

Responsibilities:

  • Provide comprehensive administrative support to the Partner and Managing Director, including managing complex calendars, scheduling meetings, and organizing day-to-day activities.
  • Coordinate extensive domestic and international travel arrangements, including flights, accommodations, ground transportation, and itinerary preparation.
  • Act as a liaison between internal teams, clients, and external stakeholders, ensuring smooth communication and follow-ups.
  • Prepare and organize materials for meetings, presentations, and conference calls, ensuring that the executives are well-prepared for each engagement.
  • Handle a variety of administrative tasks, including drafting correspondence, processing expense reports, and managing confidential information.
  • Maintain filing systems, both physical and digital, ensuring documents are properly organized and easily accessible.
  • Assist with personal tasks for the executives when required, providing a high level of discretion and attention to detail.
  • Support the management of key projects and events, ensuring that deadlines and objectives are met.
  • Assist with ad-hoc tasks as needed, helping the team operate efficiently and effectively.

Qualifications:

  • 3-5 years of experience as an Executive Assistant, supporting senior-level executives in a private equity, investment banking, or similarly fast-paced environment.
  • Bachelor's degree or equivalent professional experience.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
  • Strong organizational skills, attention to detail, and the ability to multitask in a high-pressure environment.
  • Excellent written and verbal communication skills, with the ability to interact with executives, clients, and colleagues effectively.
  • Proven ability to maintain discretion and handle confidential information with professionalism.
  • Experience managing complex schedules and travel logistics, with the ability to prioritize effectively.
  • Strong problem-solving skills and the ability to work independently while also being a team player.
  • Proficiency with financial tools and systems used in investment banking or private equity, such as CRM platforms, portfolio management tools, or project management software (e.g., Salesforce, Asana, etc.).
  • Ability to adapt to rapidly changing priorities and the capacity to anticipate the needs of the executives.
  • High level of professionalism and the ability to represent the firm positively in all interactions.
  • A proactive attitude, with the capability to identify issues and implement solutions before they become problems.
  • Ability to work efficiently in a dynamic, fast-paced environment, handling multiple requests simultaneously while maintaining high-quality results.
  • Strong attention to detail and commitment to providing high-level support in both administrative and personal capacities.
