Workflow Scrum Master Summary
The Workflow Scrum Master will balance agile workflow with robust project management skills, ensuring short-term task completion and long-term operational efficiency. The Scrum Master is a pivotal team member for planning, tracking, reporting, and optimizing workflows while actively resolving roadblocks and supporting cross-functional teams to meet deadlines and client expectations.
Primary Responsibilities
- Project Management Software : Use tools like Workzone or Agile-specific platforms to review, enter, assign, and track project tasks. Ensure all incoming project requests are complete and accurate to enable effective prioritization.
- Agile Facilitation and Workflow Planning : Lead Agile daily stand-ups, sprint planning, and retrospectives, and develop workflow plans that align with client objectives, deadlines, and team capacity.
- Task Prioritization and Scheduling : Schedule monthly tasks, special projects, and recurring workflows to meet objectives and maintain an efficient production timeline.
- Resource Allocation : Assign appropriate team members and resources based on skills, project requirements, capacity, and availability.
- Monitoring and Issue Resolution : Conduct daily reviews of active projects, flagging late or at-risk tasks. Troubleshoot and resolve workflow interruptions or project challenges in collaboration with all team members involved.
- Performance Monitoring and Reporting : Analyze and report on delivery performance and team capacity, creating transparent status updates for leadership and team members. Adjust workflows as needed based on data and team feedback.
- Cross-Team Collaboration : Act as a liaison across departments, fostering communication and collaboration to resolve interdepartmental dependencies and bottlenecks.
- Meetings and Transparency : Organize and lead regular status monitoring meetings to review project and task timelines, budgets, and objectives, ensuring alignment and accountability.
- Tracking and Reporting Enhancements : Manage unique processes like QR code and telephone number provisioning, UTM tracking, and maintaining detailed tracking spreadsheets for internal and external use.
- Continuous Improvement : Research and share insights on industry trends, project management/agile methodologies, and emerging technologies to drive innovation and best practices within the team.
- Team Enablement : Foster a collaborative and supportive team environment, providing coverage and support to production/digital/marketing managers and leadership as needed.
- Strategic Recommendations : Identify inefficiencies or areas of improvement in workflows and suggest or implement enhancements to achieve better project outcomes.
- Support Production Efforts : Assist the production director as needed and provide coverage for the production team, ensuring continuity and support across projects.
Required Knowledge, Skills & Abilities
- Bachelor’s degree in marketing, communications, or related field.
- 4+ Years of proven experience in workflow management and delivery.
- Excellent written and verbal communication skills.
- Strong project management, capacity planning, organizational, analytical, problem-solving, and multi-tasking skills.
- Able to work under tight deadlines and handle multiple tasks simultaneously.
- Able to work independently and as part of a team.
- Excellent interpersonal skills and customer service orientation.
- Show willingness to learn new methods, procedures, or techniques. Shift your priorities in response to the demands of a situation. Bounce back from setbacks and maintain a positive attitude.
- Strong attention to detail.
- Must be able to proofread own work and the work of others.
- Proficient in the use of Microsoft Office Suite and Production Management Systems.
Working Conditions and Physical Requirements
The job is usually performed indoors in a traditional office setting. The position is a hybrid in-office position (unless otherwise approved), and standard hours of work and days are 8:00 a.m. – 5:00 p.m., Monday through Friday. The position is in the office Monday through Thursday, and the option to work remotely is available on Fridays. Occasional local travel may be required.
Activities include:
- Extended periods of sitting and extensive work at a computer monitor.
- The ability to communicate orally with clients, candidates, management, and coworkers, both individually and in front of a group, is crucial.
- Regular use of the telephone and email for communication is essential.
- Hearing and vision within normal ranges are essential for everyday conversations, receiving ordinary information, and preparing or inspecting documents.
- It requires good manual dexterity when using standard office equipment (e.g., computers, mobile devices, copier/scanners).
- No heavy lifting is expected; exertion up to 30 lbs. of force (e.g., tablet, laptop, computers, office supplies) may occasionally be required.
