About Us: Seda Law Firm is a distinguished legal practice specializing in estate planning and probate law. We are seeking an experienced Executive Assistant to work directly with the Firm Owner to help manage daily operations and streamline executive functions.

Job Description: As the Executive Assistant to the Firm Owner, you will play a crucial role in managing the Firm Owner’s schedule, handling communications, and ensuring the smooth operation of the firm. You will be the primary point of contact for all internal and external communications and will assist with various administrative tasks to support the Firm Owner’s vision and strategic goals.

Key Responsibilities:

  • Schedule Management: Coordinate and manage the Firm Owner’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Communication: Act as the main point of contact for all internal and external communications on behalf of the Firm Owner, included to but not limited email management.
  • Document Preparation: Prepare and review documents, reports, and presentations as needed.
  • Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Project Management: Assist with the management of special projects and initiatives as directed by the Firm Owner.
  • Office Management: Oversee day-to-day office operations and coordinate with other team members to ensure efficiency.

Qualifications:

  • Experience: Minimum of 3-5 years of experience as an executive assistant or in a similar administrative role.
  • Skills: Excellent organizational and multitasking skills with a strong attention to detail.
  • Communication: Exceptional verbal and written communication skills.
  • Technology: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
  • Discretion: Ability to handle confidential information with discretion and integrity.
  • Adaptability: Comfortable working in a fast-paced environment and managing multiple priorities.
