Job Description

The Overbrook School for the Blind is seeking a Grants and Contracts Manager who exudes a passion for the school, its students, and its employees. This position will report directly to the Chief Financial Officer and the Director of Development.

The Mission of Overbrook School for the Blind (OSB) is to develop and deliver education that enhances the options available for persons with visual impairments, including those with additional challenges so that they have the greatest opportunity to experience active and fulfilling lives.

Organizational Description: OSB is a dynamic and multi-faceted organization centered around the operation of a private non-profit school for ages 3 to 21.  Formal and informal parental feedback consistently highlights the caring and committed staff as a primary strength of the School.  Along with three other Chartered Schools for the Deaf and Blind throughout Pennsylvania, OSB receives general operating support through an annual state appropriation that partially subsidizes the salaries and benefits for over 230 employees.  In addition to school operations, OSB manages expansive Birth to 3 Services in multiple counties and oversees an International Program that serves nine developing countries in Southeast Asia. Additionally, OSB provides itinerant services by Teachers of the Visually Impaired to students in local school districts and charter schools.  Since 1832, OSB’s legacy of innovation in service to children who are blind or visually impaired has been propelled by an energetic and dedicated workforce.

Job Functions: 

Serves as the critical liaison between the Development Office and the Business Office, ensuring smooth coordination of financial and administrative processes related to grants, contracts, donations, and pledges. Reporting jointly to the Director of Development and the Chief Financial Officer, this position plays a vital role in reconciling donations and pledges, ensuring compliance with grant requirements, filing timely reports, and supporting the organization’s strategic development goals.

Essential Functions:

  • Grant Manage Compliance

    • Monitor and ensure compliance with all grant and contract requirements, including reporting deadlines, allowable expenditures, and fund usage restrictions
    • Maintain a calendar of reporting deadlines and submission dates for grants and contracts
    • Prepare and submit accurate financial and narrative reports to funding agencies in coordination with Development and Business Offices.
  • Donation and Pledge Reconciliation

    • Serve as the liaison between the Development Office and the Business Office to reconcile donations, pledges, and other revenue streams on a regular basis.
    • Maintain detailed records of all gifts, pledges, and donor agreements, ensuring accurate and timely data entry into financial and donor management systems.
    • Provide weekly and monthly gift reports to the CEO and CFO.
  • Grant Application Support

    • Assist in the collection, analysis and presentation of data for grant applications
    • Support grant writing efforts by drafting sections, compiling necessary documents, and ensuring timely submission of applications.
  • Budget and Financial Coordination 
    • Develop grant budgets in collaboration with the Business Office and program staff, ensuring alignment with organizational priorities and funding guidelines.
    • Monitor grant expenditures to ensure they align with approved budgets and comply with funding terms
    • Prepare budget modifications and requests for no-cost extensions or other changes to grant agreements as needed.
  • Documentation and Recordkeeping
    • Maintain organized, up-to-date records of grant applications, awards, reports, and compliance documentation
    • Coordinate with internal and external auditors as necessary for grant-related audits
  • Other Duties
    • Support special projects and initiatives related to fundraising, donor stewardship, and organizational growth.
    • Perform other duties as assigned but the Director of Development or Chief Financial Officer

Minimum Education and Experience Qualifications:

Bachelor’s degree in  Nonprofit Management, Business Administration, Finance, or a related field preferred. Master’s degree and CPA designation preferred but not required.

Physical Requirements & Work Environment :

  • Lifting: must be able to lift 50-lbs minimum. Participate in 2 person lifts. 
  • Working Environment : Employees are subject to accidents and/or injuries, which may be incurred during the performance of the essential functions of the position. Work is primarily indoors but some outdoor activities may be required.
