Job Title: Legal Assistant to Administrative Managing Partner

Job Type: Full-Time, In-Office

Reports To: Administrative Managing Partner

Job Summary:

We are seeking a skilled and proactive Legal Assistant to support the Administrative Managing Partner at our firm. This unique role combines elements of litigation casework with executive assistant duties. The ideal candidate will possess strong organizational and communication skills, an ability to manage complex calendars, and the capacity to handle confidential client information with professionalism and discretion. This role requires a high level of initiative and adaptability to work in a fast-paced, high-pressure environment.

Key Responsibilities:

  • Litigation Support:
  • Assist in preparing legal documents, including pleadings, motions, discovery, and correspondence related to active litigation cases.
  • Draft and proofread legal documents to ensure accuracy and compliance with applicable laws and court procedures.
  • Manage case files, ensuring they are organized and easily accessible for the Managing Partner and legal team.
  • Coordinate with clients, experts, opposing counsel, and court personnel regarding case deadlines, filings, and hearings.
  • Administrative Support:
  • Provide executive assistant support to the Administrative Managing Partner, including managing calendars, scheduling meetings, and organizing travel arrangements.
  • Draft and manage correspondence on behalf of the Administrative Managing Partner.
  • Handle confidential and sensitive client information with the highest degree of professionalism and confidentiality.
  • Client Communication:
  • Serve as a liaison for clients, responding to inquiries and ensuring that clients receive timely updates regarding their cases.
  • Manage and prioritize communication with clients while maintaining a professional demeanor in all interactions.
  • Assist in coordinating client meetings, ensuring that materials are prepared in advance and details are well-organized.
  • Calendar and Scheduling Management:
  • Effectively manage the Administrative Managing Partner’s calendar, scheduling meetings, depositions, hearings, and other time-sensitive events.
  • Coordinate case-related events, such as court dates, client meetings, and discovery deadlines, while ensuring no conflicts arise.

Qualifications:

  • Experience:
  • 3-5 years of experience in a litigation-focused legal assistant role, with experience handling case preparation, filings, and legal research.
  • Proven experience with high-level administrative support in a law firm or similar professional setting.
  • Familiarity with court rules, procedures, and legal terminology is essential.
  • Skills:
  • Strong organizational and multitasking skills with the ability to prioritize in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information responsibly.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal case management software (such as ProLaw, LexisNexis, etc.).
  • Personal Attributes:
  • Self-starter with the ability to work independently and as part of a team.
  • Detail-oriented with a strong sense of accuracy.
  • Ability to manage multiple tasks and deadlines simultaneously.

Education:

  • Associate’s degree or Paralegal Certificate preferred.
  • Bachelor’s degree or equivalent experience is a plus.
